Photo booth at large events: capacity, flow and logistics

A photo booth also works with big crowds, provided you sort out the capacity, the flow and the logistics in advance. You can hire several booths to cope with peaks, and the right location and supervision keep the queue short. The technology is rarely the bottleneck: the printer prints in about 10 seconds.

How many photo booths do you need for a large event?

There's no fixed formula per number of guests, because it mainly depends on how many people want to use the booth at the same time. These questions will help you estimate:

• Is everyone there at the same time? A corporate party with one long break creates a peak. At a trade show or festival, visitors spread out over the day.
• How long does your event last? The shorter the event, the more guests want their turn at the same moment.
• How big is the room? One booth in a corner won't reach everyone. Two booths in different spots spread the flow.
• Is the booth the main attraction or an extra? If it's central to your programme, allow for more capacity.

Can the printer keep up?

Yes. The professional photo printer prints in about 10 seconds and a roll of paper lasts about 8 hours non-stop. When it runs out, we replace it on site. In the packages with prints, the number of prints during the event is unlimited, so there's no need to ration them.

When a large group is in the photo, everyone wants a copy. That is why guests can share their photo via a QR code, so the whole group has it on their own phones.

How do you keep the queue moving?

Most of the time goes not on printing, but on posing and choosing props. So that's where you can make a difference:

• Put the props in front of the booth, along the queue. That way, everyone is ready when their turn comes.
• Make the queue visible. Barrier posts (€40, in gold, silver or matt black) show where to line up, and a red carpet (€40) instantly gives it a place of its own.
• Avoid bottlenecks. Don't put the booth near an entrance or the bar, because a queue must not block a passageway.
• Give people in the queue something to look at. A slideshow on your own screen or projector (€50) or including a screen or projector (€100) shows the photos to those waiting.
• Have someone at the booth. Every booth explains itself, even for people who aren't technical, but supervision keeps things moving. With the permanent attendant option (€55 per hour), one of our team stays with the booth.

Even without that option, a member of staff is on standby during every event. We solve problems by phone or remotely first, and otherwise come on site until 01:00 at the latest.

What do you need to arrange logistically?

At a large venue, delivery runs less smoothly than at a small party. In any case, provide a clear space, a power socket, easy access and parking or a loading area. Also give us the name of a contact person on site and check the loading times at your venue or trade show.

Businesses pay by invoice after the event. If your trade show or festival lasts several days, you get a discount.

How does the booth fit the look of your event?

Even with lots of guests, the print remains a personal memento. Custom backdrops, props that match your theme and a layout with your logo or your event details turn it into something people keep. Our designer creates that custom design after you book.

GIFs also add movement. With the Paparazzi package (€525), you also get the glambooth, premium props, a premium backdrop, permanent storage and a custom start screen. If you'd like the outside of the booth or the screen in your brand style, include that in your quote request.
